1. Privacy at a glance
DutyMate is a duty-roster viewing, history and reporting app developed by AAW Technologies. This notice explains how the current app handles roster information, Google account access, local files, backups and exported reports.
DutyMate is designed to keep normal roster processing primarily on your device. Core Personal and Professional roster features do not require an AAW Technologies account. The optional Team Workspace feature uses DutyMate's cloud service as described below.
2. Personal Mode
In Personal Mode, DutyMate processes the employee profile you select from the connected roster or the personal roster you create. This may include your name, designation, organization name, shift codes, duty dates, leave entries, roster changes, notes and calculated duty-hour information.
This information is used to show your calendar, current and future duties, reports, duty-hour calculations, leave history, roster-change information and other features you choose to use.
3. Professional Mode
Professional Mode can process the full roster contained in the source you connect. Depending on that roster, this may include employee names, designations, teams or groups, shift assignments, leave entries and calculated duty-hour or overtime information.
When you use a local file or connected roster source, Professional Mode is used for roster viewing and reporting and does not change that source. If you intentionally use Team Workspace, authorized members can create, edit, import and publish a shared roster through DutyMate's cloud service.
Because Professional Mode may display information about other employees, you should use it only when you are authorized to view and process that roster information for your organization.
4. Roster sources and imported files
DutyMate can read roster data from a supported shared Google Sheets or Drive source, or from a roster Excel/PDF file that you select. The app reads the information needed to identify employees, dates, shift codes, groups, designations and related roster details.
Imported files are selected by you through Android's file access system. DutyMate does not need unrestricted access to every file on your device just to import a roster.
A connected source link or selected document reference may be stored locally so the app can reopen or refresh the same roster later.
5. Team Workspace cloud service
Team Workspace is optional. When you create, join or use a Workspace, DutyMate sends the information required for that shared Workspace to an AAW Technologies service hosted on Cloudflare. This may include Google account identity information, organization and team names, membership and role information, invite and profile-claim records, employee names, designations, groups, shift definitions, roster drafts and published versions, import records and security or activity logs.
Team Workspace data is stored in Cloudflare D1 and processed through a Cloudflare Worker so authorized members can synchronize, edit, publish, view and audit the same organizational roster. Access is protected using Google authentication, Google Play Integrity where applicable, short-lived sessions and server-side role permissions.
Workspace owners and authorized managers are responsible for having an appropriate organizational and legal basis before uploading or managing employee information. DutyMate does not use Team Workspace roster contents for advertising.
6. Information stored on your device
DutyMate stores app settings and roster-related cache locally so the app can load quickly and preserve history. This may include your selected employee, roster snapshots, historical roster data, shift mappings and colors, calendar notes, report data, source settings, refresh metadata, Professional/Personal mode preference and backup settings.
Local app data normally remains on the device until it is replaced, cleared through Android app settings, or removed when the app's data is deleted.
7. Google Sign-In
Google Sign-In is optional unless you choose a feature that requires identity, such as Team Workspace, backup and restore, or applicable entitlement verification. When you sign in, DutyMate may receive basic Google account information such as your Google account identifier, email address and display name.
DutyMate does not receive your Google password. Authentication is handled by Google.
8. Google Drive backup & sync
If you enable Google backup and sync, DutyMate stores its backup in Google Drive's app-specific data area. The app uses app-data access rather than full access to your normal Drive files for this backup feature.
A DutyMate backup may contain saved roster history, selected employee or mode information, organization details, shift mappings, notes, report-related data and other settings required to restore the app on another device.
Signing out of Google stops DutyMate from using that signed-in session. A backup already stored in your Google account may remain there until it is replaced or removed through the applicable app or Google account controls.
9. File and storage access
DutyMate may ask you to confirm file or storage access when you choose to import a roster or save an exported report. Access is requested for the action you initiate and is subject to Android's storage and document-access rules.
The app does not need general access to all of your personal files simply to view a roster that you have not selected.
10. PDF and Excel reports
When you create a PDF or Excel report, DutyMate generates the file from roster data available in the app. Personal reports may contain your own roster information. Professional reports may contain multiple employees' names, designations, shifts, leave dates and duty-hour calculations.
Reports are saved, printed or shared only when you choose an export action. After a report leaves DutyMate, its handling depends on the destination app, storage provider, printer, recipient or service you select.
11. Notifications and background activity
Where notification or background refresh features are enabled, DutyMate may periodically check roster data so it can keep cached information current or alert you to relevant changes. Background processing is limited by Android system rules and your device settings.
12. Premium features and payments
DutyMate may offer three separate access levels: Personal Premium, Professional Premium and Complete Premium. Personal Premium unlocks paid features inside Personal Mode but does not grant Professional Mode. Professional Premium unlocks the Manager / Supervisor / HR experience and does not grant Personal Mode. Complete Premium unlocks both modes and allows switching between them.
When production subscriptions are enabled, purchases will be processed through the applicable app-store billing system. AAW Technologies does not need your full payment-card details to provide DutyMate Premium. This policy will be updated if the final billing implementation introduces any additional data handling.
13. Analytics, advertising and sale of data
AAW Technologies does not sell roster information to advertisers. DutyMate integrates Google AdMob for advertising in eligible Free Personal Mode. Adaptive banner ads may appear in the fixed bottom advertising area of normal Personal working screens. Interstitial ads are limited to natural user-initiated navigation breaks, and App Open ads may appear during an eligible cold start. Development and test builds use Google-provided test ads. Release builds use DutyMate's production AdMob units.
Before DutyMate requests eligible ads, Google User Messaging Platform (UMP) is used to refresh the applicable advertising consent status for the current app launch. If Google determines that a privacy message is required, that message may be shown before ads are requested. DutyMate keeps an Ad privacy choices entry visible in Settings. When Google requires a privacy-options entry point, that item opens Google's privacy-options form; otherwise DutyMate explains that no separate form is currently required for the user or region.
When live AdMob advertising is enabled, Google Mobile Ads and UMP may process advertising-related device, app, consent and interaction information according to Google's applicable advertising and privacy terms. Personal Premium and Complete Premium are intended to be ad-free, and Professional Mode is not intended to show Personal Mode ads.
If analytics, crash reporting or another third-party data service is introduced later, this Privacy Policy will be updated to reflect the production data handling before that service is relied on as covered by this notice.
14. Retention and deletion
Roster history and settings may remain locally for as long as you keep the app data, because retaining history is part of DutyMate's functionality. You can remove local DutyMate data by clearing the app's storage or uninstalling the app, subject to Android behavior.
If Google backup is enabled, local deletion does not necessarily remove a previously created cloud backup. Cloud data is governed by the connected Google account and the backup controls available for the feature.
Team Workspace records remain on the shared service while the Workspace is active or as needed to provide roster history, security and audit functionality. A Workspace owner can permanently delete the Workspace from DutyMate. Full reset permanently removes roster drafts, published history, imported employee rows, mappings and activity history while keeping the Workspace and owner account. Limited security, integrity or deletion records may be retained where reasonably necessary to prevent abuse, resolve disputes or meet legal obligations.
15. Security
DutyMate uses platform-provided authentication, scoped file access, app-specific Google Drive storage, Google Play Integrity, short-lived cloud sessions and server-side Workspace permissions where applicable. No app or cloud service can guarantee absolute security, so you should also protect your device, Google account, Workspace access and exported roster files appropriately.
16. Children
DutyMate is designed for duty-roster use in work or organizational contexts and is not specifically directed at children. Users should not intentionally use Professional Mode to process children's personal information unless they have a lawful and appropriate reason to do so.
17. Changes to this policy
DutyMate is still being developed and its Premium and production-service configuration may change. AAW Technologies may update this Privacy Policy when app features, data practices or third-party services change. The updated date shown on this page will be revised when a new policy version takes effect.
